Visa Information

Please be aware that participants are responsible for applying for their own visa. USG - United Scientific Group(a non-profit organization), the organizer of the conference, does not assume responsibility for visa applications. However, we are happy to provide a Visa Support Letter to assist with the process. To qualify for this letter, applicants must meet the following criteria:

Visa Support Letter Requirements
  • Applicants must have completed registration and submitted an abstract to be eligible for the support letter.
  • Applicants must provide a scan of their valid passport, which includes a photo. (If necessary).
  • Applicants must submit a letter from their institution confirming support for their participation in the conference. (If necessary).
  • Requests for a Visa Support Letter should be made well in advance. Last-minute requests will not be processed.

Steps to Get the Visa

Step Description
1. Check your nearest Spanish Embassy / Consulate / VFS Center Search on Google: “Spain Visa Appointment + your city/country”
Many countries process Spain visas through VFS Global.
2. Schedule an Appointment Appointments fill early — it’s recommended to schedule 2–3 months before travel.
3. Prepare Required Documents Your (organizing committee) will issue:
  • Official Letter of Invitation
  • Conference Registration Confirmation
  • Accommodation Confirmation ((If stay providing by us))
The participant must provide:
  • Passport (valid for 6+ months, 2 blank pages)
  • Passport-size photos
  • Visa Application Form
  • Travel Itinerary (flight reservation)
  • Proof of Accommodation
  • Travel Insurance (min. €30,000 coverage)
  • Income proof (bank statements 3–6 months)
  • Employment/University letter (if applicable)
4. Attend the Appointment Submit all documents and provide biometrics (fingerprints).
5. Visa Processing Time Usually takes 10–21 working days.
Could take longer depending on the season or your country.

Important Note: Visa approval is solely at the discretion of the Embassy/Consulate. The conference organizers cannot guarantee visa issuance and are not responsible for any visa denial or delay.
